We’re hiring a Director of Operations to architect and lead our operational backbone from end to end. This is not a maintenance role. It’s a build-from-scratch, align-with-the-vision, drive-results position. You’ll serve as the CEO’s strategic extension—an executor, systems thinker, builder of trust, and architect of operational credibility.
You’ll operationalize the full ecosystem that powers client delivery, thought leadership, cohort-based programs, and strategic expansion. This includes building revenue-protective onboarding systems, integrating Airtable–Make–ClickUp automations, building/refining data collection and analytic systems, and impact, and setting up tools that feel as human as they are intelligent.
You’ll be at the helm of turning strategic vision into durable, scalable, and elegantly orchestrated systems—and doing it in a way that builds first-time credibility with clients.
This is a part-time, remote role in the U.S. with flexible scheduling, but aligned with Pacific Time hours.
What You’ll Build & Lead

End-to-End Operational Ecosystems: Architect the systems that manage onboarding, client communication, course and lab delivery, feedback loops, and cross-functional execution.

Credibility Engines: Build operational workflows that inspire trust from day one—especially for enterprise-level or high-touch clients.

Automation & Integration: Design and implement Make.com automations, Airtable bases, and ClickUp task architectures that speak to each other, reduce friction, and scale impact.

Calendar & Time Intelligence: Triage the CEO’s time, protect strategic bandwidth, and act as a firewall against urgency that dilutes focus.

Insight Loops: Build in feedback, reporting, and performance loops across programs—translating raw data into strategic action and credibility artifacts.

Onboarding & Learning Journeys: Create seamless onboarding experiences for clients and cohorts—integrated with Kajabi, Airtable, and Google Workspace.

Delegation Systems: Create templated systems for writing, scheduling, contracting, delivery, and comms that reduce bottlenecks without sacrificing tone or strategy.

Have built operations from the ground up inside a founder-led startup, consultancy, or mission-driven business
- Have built end-to-end operations that integrate opportunity development, onboarding, courses, data, comms, in-person and virtual labs, as well as deliver on outcomes.
- Are fluent in Make.com, Airtable, ClickUp, and Google Workspace—and understand how to build real systems (not just use templates)

You’ve only held VA, outreach, or execution support roles and haven’t directly stewarded or shaped major opportunities.
- You've built end-to-end operations that integrate onboarding, courses, data, comms, virtual and live labs, and deliverables.

You’ve only used Make, Airtable, or ClickUp at a surface level. We’re looking for someone who can build multi-system operations from scratch, not just manage to-do lists or copy prebuilt automations.

You rely on AI to do the thinking for you. AI is welcome in this role—but only as an accelerator, not a substitute. We need someone whose discernment, judgment, and strategic sequencing lead the process.

You’ve never been responsible for protecting a leader’s time and focus at a strategic level. This is not just executive admin work. You’ll serve as a thought partner, calendar architect, and bandwidth gatekeeper.

You get overwhelmed when systems are messy or unclear. A big part of this role is turning chaos into coherence. If ambiguity paralyzes you rather than energizes you, this likely isn’t the right match.

You prefer managing what exists over building what’s never been built. This role is for a builder, not a maintainer. If you're looking for a polished system to step into, this won’t be a good fit.
